Close out a cohort
Complete reporting and access review before applying any irreversible cleanup.
- Check remaining attendance and Participation Records; correct unmarked or mistaken records.
- Review outstanding forms, journals, community project reports, and collaborator reflections.
- Export the reporting records the programme is authorised to retain. Confirm filters and sharing consent before using reflections or photos outside the review team.
- Review access and outstanding work for staff and liaison officers whose assignments are ending.
- Follow the programme's approved retention decision for unsuccessful applicants through Manage PII. Inspect its preview and scope before confirming anonymisation.
Applicant anonymisation is not a general cohort purge and does not delete enrolled learners. Do not use learner deletion or report exports as substitutes for the programme's retention process. For collaborator retention or consent questions, refer them to the programme owner rather than assuming an automatic cleanup exists.
