Roles, groups, and responsibilities
People can have more than one responsibility. Their actual menu depends on the permissions assigned in Access Control, not on a job title alone.
Accounts and groups
| Group or account | Typical purpose | Start with |
|---|---|---|
| Applicants | Public intake; does not grant learner or staff access. | Applicant journey |
| Students | Enrolled learner accounts linked to a learner record. The interface calls participants learners. | Learner guide |
| Collaborators | Invited external project contributors. | Your invitation |
| University Liaison Officer | Verifies information for assigned universities. | ULO guide |
| Application Reviewers | Reviews assigned applications. | Application review |
| Application Review Managers | Manages assignments and broader review access. | Application review |
| Back Office | Programme operations; exact feature access depends on its assigned permissions. | Feature directory |
| Administrators | Account, permission, and programme configuration. | Users and access |
| Standard Users | Other configured platform access; not a substitute for a specialist assignment. | Sign in |
These are existing group names, not a promise that every deployment grants the same permission set to each group. Inspect the user's actual groups and permissions in Admin → Access Control (RBAC).
Assign work by responsibility
| Responsibility | Main screens | Additional check |
|---|---|---|
| Shortlisting reviewer | Review Applications | The application is assigned to the reviewer. |
| Panel member or programme decision-maker | Review Applications; Movement Decision | Decision permissions are separate from ordinary review. |
| University Liaison Officer | University Verification | Both liaison access and university assignments are required. |
| Facilitator | Calendar & Participation; Participation Records | Reading and changing attendance are different permissions. |
| Project reviewer | Community Projects; Project Reports | Report review and collaborator contact access are separately controlled. |
| Content editor | Form Builder; Community Journals; Help Videos; Program Documents | Grant management access only for the content they maintain. |
Panel member, director, facilitator, and content editor describe jobs; they are not necessarily built-in group names. Set up a liaison officer when university-scoped access is needed. Collaborators join through a learner's invitation rather than a general staff invitation.
